A highly entrepreneurial, privately held investment and venture platform with a diversified portfolio of businesses and entrepreneurial interests is seeking an exceptional Executive Assistant / Chief of Staff to provide support and serve as a trusted partner to the CEO and, to a lesser extent, its CFO/COO, ensuring that both executives are exceptionally well organized and prepared. This is a high-trust, hands-on Executive Assistant role for an experienced career EA who is comfortable operating at a very senior level. While the title includes Chief of Staff, the successful candidate must genuinely enjoy and excel at the fundamentals of executive support — complex calendar management, meeting preparation, travel, communication, follow-through, and day-to-day partnership with a demanding and highly active CEO. The Chief of Staff component will develop naturally as trust is established. Over time, the person in this role will have the opportunity to take on broader ownership of priorities, projects, information flow, and coordination across the organization. The environment is fast-moving, entrepreneurial, and highly relationship-driven. The right person will bring maturity, confidence, discretion, warmth, excellent judgment, and the ability to anticipate what is needed without requiring extensive direction.
- Salary depends on experience (150-200k+ base salary), plus discretionary annual bonus eligibility, long-term/equity participation may be available, although the value and timing are difficult to quantify and are dependent upon future company events.
- Hours are 9:00am-6:00pm, with a 24/7 mentality (responsiveness to emails outside of work hours, etc.).
- 5 days/week in-office position in New York City. Once there is development in the role, there could be some flexibility, but person needs to be ok with the 5 days
Responsibilities:
- Own the CEO's complex and constantly evolving calendar, managing competing priorities, meeting logistics, scheduling changes, and time-sensitive requests with minimal oversight.
- Provide day-to-day executive support with a high level of discretion, responsiveness, organization, and attention to detail.
- Prepare the CEO for meetings by gathering pre-read materials, developing agendas, organizing briefing materials, and ensuring he has the necessary context and information.
- Manage phone coverage, correspondence, and email throughout the day and provide appropriate responsiveness during evenings and weekends.
- Draft, edit, and coordinate written communications on behalf of the CEO, adapting tone and messaging appropriately for different audiences.
- Plan and oversee sophisticated domestic and international travel, including complex itineraries and charter/private aviation when needed.
- Anticipate the CEO's needs, identify potential issues before they arise, and independently develop practical solutions.
- Serve as a thoughtful gatekeeper and advocate for the CEO, understanding when to protect his time, when to escalate an issue, and when to move something forward independently.
- Maintain awareness of organizational priorities and relationships so that the CEO is consistently operating with the right information, people, and context.
- Track action items and commitments following meetings and conversations, ensuring appropriate follow-up and accountability.
- Coordinate effectively with internal teams, portfolio companies, outside advisors, vendors, household staff, and other external relationships.
- Partner with the CEO's personal/household team as needed to coordinate overlapping professional and personal priorities. Personal support is relatively light and primarily involves coordination with an established personal staff.
- Coordinate company events and select activities involving the CEO's professional and personal properties.
- Oversee credit card activity, statements, payments, and related financial administration; handle sensitive financial information with complete discretion.
- Manage and support a small administrative/facilities function, including providing direction and prioritization to a two-person team.
- Develop a deep understanding of the organization, its businesses, key relationships, and the dynamics among internal and external stakeholders.
- Regularly assess administrative processes and workflows and introduce improvements that increase efficiency and effectiveness.
- As trust develops, take on broader Chief of Staff responsibilities, including special projects, cross-functional coordination, and helping translate the CEO's priorities into action.
Required Qualifications:
- Highly experienced career Executive Assistant with 10–15+ years of progressive experience supporting CEOs, founders, entrepreneurs, UHNW individuals, or other highly senior executives who is comfortable working in a high-touch, high-expectation environment.
- A Bachelor’s degree is required/strongly preferred. Exceptional relevant experience and demonstrated success supporting senior executives will be considered in lieu of a degree.
- A true EA at heart: Someone who genuinely enjoys executive support and does not view the EA responsibilities as beneath a Chief of Staff title.
- Sophisticated and mature: Comfortable operating around senior executives, high-net-worth individuals, and sophisticated business and personal environments.
- Warm and personable: Congenial, approachable, and able to build genuine relationships while maintaining appropriate professional boundaries.
- An exceptional reader of people: Able to read the room, understand dynamics, anticipate reactions, and adjust your approach accordingly.
- Confident but low-ego: Comfortable advocating for the executive and pushing back when appropriate, but never combative or territorial.
- An upstream thinker: Someone who anticipates problems before they become problems and thinks several steps ahead.
- Resourceful: Able to figure things out independently, find solutions without being handed a roadmap, and remain calm when circumstances change.
- Extremely organized: Meticulous with details while simultaneously understanding the bigger picture and shifting priorities.
- An excellent communicator: Polished, concise, and highly effective both verbally and in writing.
- Discreet and trustworthy: Comfortable handling confidential business, financial, personal, and family information.
- Flexible and responsive: Willing to monitor and respond to communications outside standard business hours when necessary, while exercising good judgment about urgency and priorities.
- Collaborative: Comfortable working across a small, entrepreneurial organization and interacting with a broad range of personalities and stakeholders.
- Hands-on: Willing to roll up your sleeves and take ownership of whatever needs to get done.
- Sophisticated calendar management for a CEO or similarly senior executive
- Domestic and international travel planning; charter/private aviation experience strongly preferred
- Experience supporting high-net-worth executives or principals
- Experience coordinating with household managers, personal assistants, and other private staff
- Experience handling corporate credit cards, expenses, financial information, or banking-related administration
- Experience managing or mentoring junior administrative professionals
- Experience in an entrepreneurial, investment, venture, private equity, family office, or similarly high-touch environment
- Strong proficiency with Google Workspace and Microsoft Office
