Our client, a respected international professional organization, is seeking a proactive and highly organized Executive Assistant to support senior leadership and a dynamic team in a fast-paced, global environment. This is an excellent opportunity for an experienced administrative professional who enjoys managing multiple priorities, coordinating complex projects, and working with stakeholders from around the world. This role offers the opportunity to support high-level executives while playing a key role in coordinating international meetings, special events, and cross-functional initiatives. Occasional international travel is available to support major meetings and conferences held throughout the year.

  • Location: New York City (Hybrid – 3 days in office)
  • Salary: $70,000–$85,000 plus annual bonus, paid overtime, and comprehensive benefits
Responsibilities:
  • Provide executive-level administrative support to senior leaders and a collaborative team.
  • Manage complex calendars, meeting logistics, and travel arrangements, including domestic and international itineraries.
  • Coordinate virtual and in-person meetings, conferences, and special events from planning through execution.
  • Prepare, edit, format, and proofread presentations, reports, meeting materials, and other business documents.
  • Process expense reports, reconcile travel expenses, and assist with budget tracking and financial reporting.
  • Serve as a primary point of contact for meeting participants, vendors, and internal stakeholders.
  • Support event planning, including receptions, dinners, and executive meetings.
  • Maintain organized records, project documentation, and meeting files.
  • Provide administrative support on special projects and assist team members as needed.

Required Qualifications:

  • 5+ years of Executive Assistant or senior administrative experience supporting executives or leadership teams.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and ability to handle confidential information with discretion.
  • Professional, resourceful, and responsive, with the ability to work independently and collaboratively.
