A leading multinational retail and fashion organization is seeking an experienced Executive Assistant to support two senior executives, with primary support for the Chief Financial Officer and additional support for the General Counsel. This is a highly visible role for a polished, proactive Executive Assistant who thrives in a fast-paced, global environment and is skilled at anticipating the needs of senior leadership. The ideal candidate will be comfortable managing complex calendars, coordinating domestic and international travel, working across multiple time zones, and partnering with stakeholders throughout a global organization. They should be incredibly polished and professional, proactive, business-minded, able to anticipate needs before they arise, and possess excellent interpersonal and communications skills (both verbal and written). Responsibilities:
- Provide high-level executive support to the CFO and General Counsel, serving as a trusted point of contact and gatekeeper for internal and external stakeholders.
- Manage complex, dynamic calendars, coordinating meetings, calls, and events across multiple domestic and international time zones.
- Proactively identify scheduling conflicts, shifting priorities, and potential issues, offering solutions before they become problems.
- Coordinate extensive domestic and international travel, including flights, hotels, ground transportation, detailed itineraries, and other logistics.
- Plan and coordinate meetings across multiple regions and time zones, working closely with international colleagues and global teams.
- Serve as a liaison between the executives and other business units, ensuring timely communication and follow-through on important matters.
- Process executive expenses and invoices, reconcile corporate credit card statements, and ensure compliance with company policies.
- Review and route expense submissions for the executives' direct reports as needed.
- Coordinate office and meeting logistics, including visitor arrangements, conference rooms, on-site and off-site meetings, and other executive needs.
- Draft correspondence, prepare documents, and assist with presentations and other materials as required.
- Handle sensitive and confidential information with a high degree of discretion, professionalism, and judgment.
- Provide occasional support with personal matters and demonstrate flexibility when priorities require it.
- Partner with colleagues across the organization to improve efficiency, streamline processes, and ensure the executives are prepared for upcoming meetings, travel, and commitments.
- Remain flexible with working hours when necessary to accommodate international time zones, travel, urgent business needs, or changing executive priorities.
Required Qualifications:
- Minimum 5+ years of experience supporting C-suite or senior-level executives, ideally within a global organization.
- Bachelor’s degree strongly preferred/required.
- Experience in retail, fashion, consumer goods, or another fast-paced, operationally driven industry is strongly preferred.
- Demonstrated expertise managing complex executive calendars and coordinating across multiple time zones.
- Strong experience arranging international and domestic travel, including multi-stop itineraries and last-minute changes.
- Excellent judgment and the ability to anticipate executive needs and proactively solve problems.
- Highly organized with exceptional attention to detail and follow-through.
- Polished written and verbal communication skills with the ability to interact confidently with senior executives and global colleagues.
- Strong interpersonal skills and the ability to work effectively with people across multiple functions and levels of an organization.
- Tech-savvy and highly proficient with Microsoft 365, including Outlook, Word, and Teams.
- Experience with Concur or a comparable travel and expense management system is highly valued.
- Ability to manage confidential and sensitive information with discretion and integrity.
- Calm, resourceful, and composed under pressure, with the ability to adapt quickly when priorities change.
- Comfortable working in a global environment and collaborating with colleagues in Japan and other international markets.
- Willingness to work primarily in the NYC office and adjust hours as needed to support executives and global business operations.
