Our client is seeking an organized and detail-oriented Event Coordinator to support the planning and execution of meetings, conferences, and special events. This individual will play a key role in managing event logistics, maintaining project timelines, coordinating with vendors and internal teams, and ensuring successful event execution from planning through completion.

  • Location: Remote
  • Duration: Approximately 9-week contract (Beginning August 2026)\
  • Pay: $28/hr. 

Responsibilities:

  • Assist with planning and coordinating meetings, conferences, and special events.
  • Develop and maintain project timelines, production schedules, and event planning checklists.
  • Coordinate event logistics with internal departments, vendors, venues, and external partners.
  • Prepare agendas, production documents, run-of-show schedules, signage requests, shipping schedules, and other event materials.
  • Track project deliverables and ensure milestones and deadlines are met across multiple concurrent events.
  • Manage event registration, attendee communications, and event documentation.
  • Assist with budget tracking, purchase requests, invoice processing, and post-event reconciliation.
  • Schedule meetings, maintain planning documents, and provide administrative support to the Events team.
  • Provide onsite event support as needed, including event setup, registration, vendor coordination, and event execution.
  • Support additional event-related projects and administrative duties as assigned.

Required Qualifications:

  • 2–4 years of experience supporting corporate meetings, conferences, special events, or nonprofit events.
  • Strong organizational, project management, and time management skills.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience using project management software such as Monday.com or similar platforms is preferred.
  • Ability to work independently while collaborating effectively with internal and external stakeholders.
  • Previous nonprofit event experience is a plus but not required.
