We're looking for a detail-oriented Asana Systems & Operations Lead to own the day-to-day integrity of Procurement's Asana environment — the single source of truth for ~24 workstreams and 300+ initiatives. This role spans daily tactical operations and Hygiene Lead support, schema design for Asana 2.0, financial validation tracking, and defining the post-close operating rhythm Procurement will run on going forward.
Pay Range :$50 /hr on w2 to $58/hr on w2
Responsibilities:
Daily Tactical Operations
Maintain the Asana Hygiene Dashboard and send the daily Asana Hygiene Action List to Hygiene Leads
Manage the Asana Hygiene Leads Slack channel and resolve ad hoc questions and issues in real time
Lead weekly stand-up meetings to review priorities and progress against open action items
Asana 2.0 Schema & Deployment
Own ongoing schema design and field structure updates for clarity, accuracy, and process efficiency
Develop training materials, host onboarding sessions, and facilitate Hygiene stand-ups, including for International Leads (EMEA, LATAM, Australia)
Partner with Hygiene Leads to migrate and fill in required Asana 2.0 fields for all active initiatives
Build a Quick Reference Guide covering Asana set-up, initiative management, and long-term maintenance
Assess, design, and socialize Asana enhancements — AI enablement, streamlined templates, automated approval flows, built-in data checks — and define the post-close operating rhythm
Financial Validation
Train Hygiene Leads on stage gate template sign-offs and Asana documentation requirements
Maintain the Sign-Off Evidence Log and Asana requirements that support Financial Validation & Budget Alignment
Facilitate Category Lead–Central Finance sessions and build materials to resolve the finance validation backlog
Own and update the Financial Validation Tracker dashboard covering 300+ initiatives' validation status
Required Qualifications:
5-7+ years in program/project operations, systems administration, or PMO analyst roles
Hands-on Asana administration experience (custom fields, rules/automations, portfolios, reporting) strongly preferred
Strong attention to detail and comfort owning data hygiene across a large, fast-moving initiative set
Clear written and verbal communicator — able to train and support non-technical stakeholders across regions
Process-oriented mindset; comfortable designing and documenting repeatable workflows
