We are looking for a Social Specialist & Executive Support professional to join a top media and entertainment company in their Washington, DC office. The Social Specialist provides executive and strategic coordination and support to the Editor in Chief (VP) for Brand. The ideal candidate will be able to balance executive administrative responsibilities—including calendar management, meeting priorities, travel, and expenses—with strategic projects and initiatives across the Social organization.This role will assist in managing and scheduling the delivery of Social stories and major projects that span multiple teams, while supporting the VP in prioritizing workflows and key initiatives. The Specialist will also work closely with the VP to create presentations, helping to format, design, and structure information, acquire assets, and contribute creatively and strategically to proposals and presentations for both internal and external audiences.The Specialist will also serve in a project management capacity across the Social team, helping track key Social features, milestones, and deliverables while ensuring alignment across Social Content Production, Growth Marketing, and Brand Franchise & Strategy.

Pay Rate: $33.33/hr
Responsibilities:
Manage the VP’s time, calendar, and communications with leadership and other stakeholders, highlighting priorities for action and review.
Manage day-to-day scheduling with internal and external teams, including coordinating meetings across multiple time zones.
Coordinate meeting preparation by creating agendas and distributing materials.
Maintain daily meeting files, including notes and action items, and distribute follow-ups to attendees.
Support in-meeting needs, including occasional hospitality, food and beverage coordination, and general IT assistance.
Arrange travel and create detailed itineraries for the VP.
Prepare and submit business-related expenses and invoices through Concur/SAP in a timely manner and review direct reports’ expenses.
Regularly review and collaborate on departmental budgets and expenses.
Manage multiple priorities under tight deadlines while communicating clearly with executives and key internal stakeholders.
Maintain staff lists and track new hires to ensure the VP is aware of personnel changes and meets with new staff.
Coordinate the VP Review process by funneling and tracking stories between the VP and Social Operations team to ensure production remains on schedule.
Maintain detailed records of Social pitches, track progress against key milestones, communicate status updates, and schedule check-in meetings throughout the production lifecycle.
Assist with miscellaneous administrative and strategic projects as needed.
Project manage select Social projects and priorities, ensuring effective communication, collaboration, and on-time delivery.
Provide regular project updates to executive stakeholders and ensure deadlines are met.
Build relationships across Company departments to support broader company goals and successful deployment of production team and departmental resources.
Help maintain a positive team atmosphere, including coordinating occasional internal and external social gatherings.
Create PowerPoint and Keynote presentations, reports, and analyses for internal and external audiences.
Supply Social data, priorities, and content to other branches of Company Content for use in brand-wide presentations and communications.
Build high-priority slides, resource documents, and executive status updates under tight deadlines.
Serve as a key contact and representative for the Social organization in broader brand strategy conversations.
Serve as an operational and administrative point of contact for Social teams, including ordering office supplies, handling executive mail, shipping packages, coordinating with facilities, supporting conference room technology needs, and directing employees to appropriate resources.

Extremely detail-oriented and organized, with the ability to manage multiple high-priority projects and effectively prioritize competing deadlines.

Strong general administrative skills, including phone support, filing, scheduling, and coordination.
Excellent typing skills and proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Ability to quickly learn and adapt to internal systems and processes.
Fluency with Keynote and Airtable is a plus.
Ability to work overtime and non-traditional hours when necessary.
Strong passion for media and publishing and familiarity with industry concepts and practices.
Ability to troubleshoot basic technology issues as they arise.
Working knowledge of SAP and Concur.
Bachelor’s degree or equivalent work experience.
