Our client, a leading entertainment company, is seeking a Social Specialist to provide executive and strategic coordination and support to the Editor in Chief (VP).  You will be splitting your time between managing administrative work for the VP, assisting with creating presentations for internal and external users, and providing support for strategic projects and initiatives across the entire Social organization.  This role also serves in a project management function across the entire social team.  The ideal candidate has a keen attention to detail, organizational skills, ability to manage complex projects, and impeccable communication skills.  Previous experience in media/publishing is a plus.
 
  • Long-Term Temp assignment for approximately two years
  • 9:00am-6:00pm, Monday-Thursday Onsite and Fridays remote
  • Pay Rate $33/hour

Responsibilities:
  • Tactfully manages VP’s time, calendar, and communications with leadership team and other stakeholders.
  • Manages day-to-day scheduling with internal and external teams across multiple time zones
  • Maintains daily files for meetings including notes/action items.
  • Handles in-meeting preparation including occasional hospitality needs as well as general IT support.
  • Arranges travel and creates detailed itineraries for VP.
  • Prepares and submits business-related expenses and invoices.
  • Regularly reviews and collaborates on departmental budget/expenses.
  • Maintains staff lists and tracks new hires to ensure VP meets with staff and is aware of personnel changes.
  • Coordinates VP Review process (funneling/tracking stories between VP and Social Operations team) to ensure production stays on schedule.
  • Manages detailed recording of all Social pitches and schedules check-in meetings at defined points in the production lifecycle.
  • Project manages select Social projects and priorities as needed to ensure deadlines are met.
  • Provides regular updates to executive stakeholders. 
  • Builds relationships and communicates effectively with other departments to achieve broader company goals team and departmental needs.
  • Helps maintain positive team atmosphere including occasional social gatherings (internal/external) and has a positive impact on overall company culture.
  • Creates PowerPoint or Keynote decks, reports, and analyses for internal (All Staff presentations, executive alignment) and external (partnership proposals) uses.
  • Supplies Social data, priorities, and content to other departmental branches.
  • Serves as a key contact and representative for the Social organization in broader brand strategy conversations.
  • Serves as operational and administrative point of contact for all Social teams via ordering office supplies, handling executive mail, shipping packages, contacting facilities, understanding conference room tech needs, and directing people to correct resources.
  • Assists with miscellaneous admin and strategic projects on an as-need basis.
Required Qualifications:
  • Bachelor's Degree or work equivalent experience
  • Maintain standards of strict confidentiality with respect to all matters and documents.
  • Ability to make independent decisions when handling sensitive and confidential information
  • Detail-oriented and organized, with a strong ability to manage multiple high-priority projects, and appropriately prioritize work within tight deadlines.
  • Ability to maintain an efficient office, files, systems, and information.
  • Professional, friendly, easy-going manner to handle varied personalities, responsibilities, and assignments.
  • Team player - willing to learn the ins and outs of content production and media business and the needs of various stakeholders to better facilitate duties and requests.
  • Excellent written and verbal communications and interpersonal skills to assure successful interaction with Senior Executives, as well as business unit contacts and key external partners.
  • High-level competency in general administrative skills including answering the phone, filing, etc
  • Proficiency in Microsoft Office Suite. Fluency with Keynote and Airtable a plus.
  • Ability to work overtime/odd hours when necessary.
  • Candidate should have a strong passion for Media/Publishing and should be familiar with a variety of industry concepts and practices.
  • Ability to troubleshoot tech issues as they arise.
  • Overall working knowledge with SAP and Concur systems.
