A Boutique startup investment firm/fund of funds is seeking an Executive Assistant to support its Founder & Managing Partner. Candidates should have 38+ years of applicable experience supporting a senior executive, Founder, Managing Partner, investor, or other high-level professional, ideally within investment management, private equity, hedge funds, venture capital, financial services, or another sophisticated professional services environment. A Bachelors degree is required/strongly preferred. The ideal candidate will be extremely polished, highly organized, smart, proactive, resourceful, highly dependable, and comfortable operating with a significant degree of autonomy, with a genuine interest in being a right hand to the Founder in a growing investment business. They should be someone who naturally anticipates needs, enjoys wearing multiple hats, has a strong sense of ownership, and is comfortable working in a fast-paced, entrepreneurial environment where priorities can shift quickly. The ability to build trust, maintain confidentiality, and operate with discretion is essential. Compensation & Schedule:
  • Salary depends on experience ($110,000$130,000+ base), plus discretionary bonus eligibility.
  • Comprehensive benefits package.
  • Hours are 9:00 AM6:00 PM, with flexibility as needed.
  • 5 days in-office, MondayFriday.

Responsibilities:
  • Manage the Founders complex calendar, scheduling, and meeting logistics.
  • Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries.
  • Prepare and organize meeting materials, agendas, and presentations.
  • Track follow-up items and help ensure action items are completed.
  • Manage expenses, invoices, and other administrative responsibilities.
  • Serve as a trusted gatekeeper and point of contact for the Founder.
  • Coordinate meetings with investors, hedge fund managers, investment professionals, service providers, and other business contacts.
  • Maintain regular communication and assist with follow-up on behalf of the Founder.
  • Help coordinate conferences, industry events, and networking opportunities.
  • Maintain a highly professional and polished presence in all internal and external interactions.
  • Maintain and update the firms CRM and contact database.
  • Organize meeting notes, contact information, and internal files.
  • Assist with document preparation, presentations, correspondence, and other materials.
  • Maintain organized records and ensure information is readily accessible.
  • Assist with day-to-day office management and operational needs.
  • Coordinate vendors, subscriptions, supplies, and administrative services.
  • Support recruiting logistics, interview scheduling, and onboarding.
  • Assist with benefits and other administrative processes as the firm continues to build out its infrastructure.
  • Provide support to the broader team as needed.
  • Assist the Founder with firm initiatives and strategic projects.
  • Coordinate conference registrations and related logistics.
  • Support special projects and priorities as the business evolves.
  • Assist with personal and professional projects for the Founder, as appropriate.
  • Take on additional responsibilities as needed in a growing, entrepreneurial environment.

Requirements/Qualifications:
  • 38+ years of experience supporting a senior executive, Founder, Managing Partner, investor, or other high-level professional.
  • Experience within investment management, private equity, hedge funds, venture capital, financial services, or another sophisticated professional services environment preferred.
  • Bachelors degree required/strongly preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Excellent judgment, discretion, and ability to handle confidential information.
  • Highly proactive with exceptional follow-through.
  • Ability to anticipate needs and operate independently.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Strong proficiency with Microsoft Office and other technology platforms; CRM experience preferred.
  • Professional, polished, personable, and service-oriented demeanor.
