A leading alternative investment firm in Midtown Manhattan is seeking an experienced Executive Assistant to provide administrative and executive support to approximately 10–15 members of its U.S. Credit Investing team. Candidates must have a minimum of 3-5+ years of applicable experience and a Bachelor’s degree is required. The ideal candidate will be an exceptionally organized multitasker who thrives in a fast-paced environment and can balance competing priorities with professionalism and discretion. They should be proactive, resourceful, flexible, and comfortable working both independently and as part of a collaborative administrative team. The successful candidate will interact with professionals at all levels of the organization, as well as clients, vendors, and service providers. The ability to remain composed and efficient under pressure, exercise sound judgment, and maintain a high level of confidentiality is essential.   • Salary depends on experience (90-105k base), paid overtime, and discretionary bonus eligibility.

Responsibilities:
  • Provide comprehensive administrative and executive support to approximately 10–15 members of the U.S. Credit Investing team.
  • Coordinate and manage complex, high-volume calendars, including meetings across multiple time zones.
  • Schedule internal and external meetings while proactively managing competing priorities and changes.
  • Plan and coordinate complex domestic and international business travel.
  • Prepare, manage, and process expense reports using Concur.
  • Maintain various departmental spreadsheets and organizational trackers.
  • Work closely with other Executive Assistants across the firm’s offices to coordinate schedules, meetings, and administrative needs.
  • Interact professionally with clients, vendors, service providers, and colleagues at all levels.
  • Coordinate conference room meetings, including ordering and arranging meals, refreshments, and other meeting requirements.
  • Set up and break down conference rooms and meeting spaces as needed, including handling items weighing over 10 pounds.
  • Provide phone coverage, including answering and screening a high volume of incoming calls.
  • Assist with special projects and additional administrative responsibilities at the discretion of the team.
  • Anticipate needs, proactively address issues, and ensure day-to-day administrative operations run smoothly.
  • Maintain a high level of confidentiality and discretion when handling sensitive business and client information.
  • Collaborate with other members of the administrative team to ensure seamless coverage and support.
Required Qualifications:
  • Bachelor’s degree required.
  • Minimum of 5 years of experience in a similar Executive Assistant or administrative support role.
  • Financial services, investment management, private equity, credit, or alternative investment experience strongly preferred.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong calendar management and travel coordination experience.
  • Excellent written and verbal communication skills.
  • Highly professional and polished interpersonal style.
  • Strong judgment, discretion, and confidentiality.
  • Proactive, resourceful, and solutions-oriented approach.
  • Ability to work independently with minimal supervision while also being an effective team player.
  • Comfortable interacting with professionals at all levels, including senior executives and external clients.
  • Ability to remain calm, flexible, and efficient when working under pressure.
  • Strong proficiency with Microsoft Office and experience with Concur preferred.
