Our client, a global trading firm in New York City, is seeking an experienced Receptionist and Executive Assistant to provide support for the CEO and the reception desk.  This job will be roughly 20% EA duties and 80% Reception/front office responsibilities.  Previous EA experience is a must, and experience within financial services is preferred.  This position will start on a temporary basis with the possibility of being hired on a permanent basis. 
  • Temporary-to-permanent opportunity, 35 hours per week
  • Fully onsite in New York, NY
  • Pay Rate $36-37/hour depending on experience

Responsibilities
  • Lead the department's mission to deliver an exceptional workplace experience as the primary front-of-house specialist.
  • Open the office on time and ensure readiness to welcome, greet, and register employees, visitors, vendors, clients, and corporate executives.
  • Oversee the reception area and boardroom, ensuring meeting rooms are clean, functional, fully stocked, and properly reset after each meeting.
  • Manage meeting-room conflicts, including double bookings, unplanned meetings, and extended reservations.
  • Screen incoming calls, direct them to the appropriate contacts, and take messages for timely follow-up.
  • Process and log incoming and outgoing mail and courier services accurately and efficiently.
  • Assist the Office Manager with business travel coordination and related arrangements.
  • Monitor office-supply inventory and place orders as needed.
  • Prepare office expense reports and maintain accurate budget-tracking spreadsheets.
  • Support coordination and set up of some office initiatives, events, and scheduling in alignment with organizational priorities.
  • Coordinate and schedule routine office vendor visits and service requests.
Ideal Candidate
  • Financial services experience is strongly preferred.
  • Experience supporting a senior executive, ideally a CEO or C-suite leader.
  • Strong calendar management and domestic/international travel experience.
  • Highly organized, detail-oriented, strong communication skills, and able to prioritize multiple responsibilities.
  • Friendly and personable, but professional and appropriately reserved in a corporate environment.
  • Comfortable working independently and taking ownership of responsibilities.
  • Proficiency in Microsoft Office
