Our client, a biotechnology startup in Boston, MA, is seeking an Executive Assistant & Operations Coordinator to support senior leadership while helping keep day-to-day operations running smoothly. The ideal candidate is comfortable wearing multiple hats, working with confidential information, and jumping between executive support, project coordination, and operational needs. This person will be expected to work independently, anticipate needs, and bring structure to a fast-moving environment where priorities can shift quickly.
Part-time contract with the possibility of permanent conversion.
Approximately 10-15 hours/week, may adjust with business demands.
Temporary pay $50-60/hour DOE, Permanent Salary $110,000-$120,000.
Responsibilities:
Systems / SharePoint Support- MOST important starting off
Assist with ongoing SharePoint administration and organization
Support users with access-related questions and basic troubleshooting
Help organize and maintain company information and documentation
Coordinate with external IT vendors/consultants as needed on systems-related projects
Assist with implementation and adoption of new systems and technology
Executive & Administrative Support
Provide day-to-day administrative support to the CEO and senior leadership team as needed
Manage calendars, scheduling, meetings, and logistics
Coordinate travel arrangements and related itineraries
Assist with expense management and expense reporting
Support meeting preparation, scheduling, and follow-up
Help coordinate internal events, organizational meetings, and other leadership activities
Handle confidential and sensitive information with a high degree of discretion
Operations & Project Support
Assist with a variety of cross-functional projects and initiatives
Help organize information, documentation, and processes as the company continues to grow
Work closely with leadership and internal stakeholders to keep projects moving forward
Identify opportunities to improve administrative and operational processes
Provide hands-on support wherever needed within a small, collaborative organization
Be the onsite point person in the office
Required Qualifications:
Previous experience as an administrative and executive assistant
Experience supporting senior executives in a fast-paced environment
Proficiency with Sharepoint
Contracts management experience strongly preferred
Strong organizational and project coordination skills
Excellent attention to detail and follow-through
Comfortable managing multiple priorities and shifting deadlines
Strong written and verbal communication skills
High level of discretion when handling confidential information
Comfortable working independently and taking initiative
Experience working with IT systems, vendors, or technology projects is a plus
Startup or small-company experience preferred
Proficiency with Microsoft Office / Microsoft 365
