Our client, a management consulting firm, is seeking a Front Desk Coordinator to provide daily administrative support to the leadership team and global workforce while leading various support activities directly related to the operations of the office itself.  The ideal candidate has a hospitable mindset, as you will be the one who welcomes people into the office and typically the first person visitors talk to.
  • Monday-Friday 8:30am-5:30pm, fully onsite in NYC
  • Long term temporary contracted role
  • Pay Rate $25-27/hour
Responsibilities:
  • Serve as first point-of-contact for visitors and employees through physical presence at NY Office’s front desk and on its primary phone line.
  • Prepare office daily with supplies, equipment, and resources to ensure proper functioning of corporate headquarters environment, including the use of daily tracking tools for process management involving supplies, office visitor log management, and coordination with building superintendents.
  • Coordinate the placement and receipt of orders – supplies, food, and equipment – to support team members and leaders in the NY Office and beyond.
  • Ensure the office is neat and tidy, and common spaces are well-stocked and inviting.
  • Provide travel logistics and coordination for team members’ and leaders’ attendance and participation at meetings, conferences and other events – including the preparation of collateral materials and the shipping of equipment to offsite locations and the subsequent return to the NY Office.
  • Support office protocols by issuing and tracking temporary guest badges, and by assisting team members with office attendance tracking when a security badge has been forgotten.
  • Coordinate outgoing mail and shipping through third-party vendors, and track deliveries and returns to ensure company equipment and materials are retained.
  • Support office and team culture by coordinating weekly team lunches – ordering through delivery services and/or planning offsite team luncheons at nearby restaurants.
  • Manage team member swag by maintaining storeroom and inventory counts, coordinating with operations peers when re-orders are needed.
  • Support information requests and conduct research as needed.
  • Perform other tasks as they arise.
Required Qualifications:
  • 2+ years of relevant business experience such as customer experience, office logistics, and supporting teams
  • Excellent communication skills, including the ability to navigate interactions concisely and effectively with a wide variety of employees, visitors, vendors, and others.
  • Scrupulous attention to detail and impeccable organizational skills.
  • The ability to prioritize multiple, sometimes competing, projects while being thorough, exercising sound judgment and managing expectations.
  • Client-service focused with strong people skills and the ability to gain trust and confidence with colleagues at all levels.
  • Ability to professionally and constructively manage challenges that may arise from time to time with the work, work processes, and interactions with other personnel in a fast-paced, high growth environment.
  • Solid working knowledge of Microsoft Office (i.e., Word, Excel, Outlook, PowerPoint)
  • Strong command of the English language.
  • Highest standards of ethics and professional integrity.
  • Associate’s degree preferred, but not required with appropriate work experience
