Our Client, a news organization based in New York City, is seeking an experienced Facilities and Workplace Project Manager to lead their office relocation and workplace buildout.  This role is heavily hands-on and will require coordinating with vendors, building management, architects, contractors, and internal stakeholders.  The ideal candidate needs to be able to work independently and has previous experience managing office moves.

  • Monday-Thursday onsite, Friday remote 9:00am-6:00pm
  • Pay Rate $40-50/hour
  • Contracted role until approximately end of December 2026

Responsibilities:
  • Lead the planning and execution of the company's upcoming NYC office move, ensuring the transition is completed smoothly, on schedule, and with minimal disruption to the business
  • Coordinate all aspects of the relocation, including office equipment, furniture, technology, supplies, deliveries, and employee workspaces
  • Partner with architects, contractors, vendors, building management, and internal stakeholders throughout the move and build-out
  • Support the build-out of a new, large-scale studio space intended for podcast and content production
  • Manage project timelines, deliverables, logistics, and competing priorities across multiple workstreams
  • Coordinate vendor selection, scheduling, access, deliveries, installations, and on-site activity
  • Track project costs and help ensure work remains within budget
  • Coordinate building requirements, permits, occupancy documentation/certificates, repairs, and other facilities-related requirements
  • Serve as the primary day-to-day point of contact for facilities and workplace matters during the transition
  • Oversee general office operations, including building maintenance, repairs, supplies, pantry and kitchen needs, and coordination with building management
  • Anticipate potential issues and proactively develop solutions before they impact the business
  • Communicate clearly with leadership and provide updates on project status, risks, timelines, and outstanding decisions
  • Jump in wherever needed to keep the office and relocation project moving forward
Qualifications:
  • 5+ years of experience in facilities, workplace operations, office management, or related project management or equivalent experience 
  • Proven experience managing an office relocation, major workplace project, or commercial build-out from planning through completion
  • Experience coordinating architects, contractors, vendors, building management, and other external partners
  • Familiarity with NYC commercial office requirements, including occupancy documentation and building procedures
  • Strong project management skills with the ability to independently manage timelines, logistics, budgets, and multiple vendors
  • Highly self-motivated and comfortable working with minimal direction
  • Strong problem-solving skills and a solutions-oriented, roll-up-your-sleeves approach
  • Excellent organizational and communication skills
  • Comfortable working directly with senior leadership in a fast-paced, highly dynamic environment
  • Strong technology skills and comfort working in a modern, highly digital workplace; experience with tools such as Slack, Google Workspace, DocuSign, and AI-enabled productivity tools is preferred
  • Ability to quickly assess what needs to be done, take ownership, and keep projects moving without waiting for detailed instructions
