Media brand looking for a Marketing Coordinator to provide high-level administrative and operational support to the Chief Marketing Officer and help drive the day-to-day effectiveness of the broader marketing organization. In this highly visible role, you will manage a complex and fast-moving executive calendar, coordinate travel and meetings, and serve as a trusted liaison across internal teams, senior leadership, and external partners. You will also play an important role in keeping the Los Angeles office running smoothly, partnering across teams to support office operations, facilities, onboarding, meetings, and events. Because many key moments happen outside traditional business hours, occasional evening and weekend flexibility will be required to support live programming and major events. The ideal candidate is highly organized, proactive, resourceful, and comfortable balancing executive support with hands-on office operations in a dynamic, fast-paced environment.

  • Full Time w2 Contract - 6+ months
  • $30-40/hour
  • Hybrid Schedule 3+ days onsite in LA

Responsibilities:

  • Manage a complex, fast-changing calendar for the CMO, strategically prioritizing commitments, navigating multiple time zones, and proactively resolving scheduling conflicts.
  • Partner with executive assistants and administrative teams across the organization to align schedules, coordinate multi-executive meetings, and streamline workflows.
  • Coordinate detailed domestic and international travel, including flights, accommodations, and ground transportation, and complete expense reports in a timely manner.
  • Plan and execute leadership meetings, all-hands meetings, team-building activities, and internal and external events.
  • Serve as a key point of contact and operational liaison between the CMO, internal teams, senior leadership, and external partners.
  • Oversee day-to-day office operations, including vendor relationships, office supplies, catering, and facility maintenance requests.
  • Manage conference room schedules, room readiness, AV, and meeting technology to ensure smooth execution of daily team and executive meetings.
  • Partner with HR to support and streamline onboarding for new hires across the marketing team.
  • Greet office visitors, manage guest access, and coordinate with building management and security on facilities, access badges, and safety protocols.
  • Draft, proofread, and format executive communications, presentations, status updates, and meeting notes as needed.
Required Qualifications:
  • Experience providing executive administrative support along with operational or facilities management experience, ideally in digital media, technology, software, or streaming environments.
  • Demonstrated ability to collaborate cross-functionally with administrative partners across teams or business units.
  • High degree of professionalism, maturity, and discretion when handling sensitive business and personnel information.
  • Excellent organizational skills, strong attention to detail, and the ability to manage competing priorities in a fast-paced environment.
  • Strong interpersonal and communication skills with a welcoming, service-oriented approach to workplace needs and external guests.
  • Hands-on experience coordinating facilities, office services, catering, and vendor relationships.
  • Flexibility to occasionally work evenings and weekends in support of live programming and major events.
  • Ability to work on-site in the Los Angeles office a minimum of three days per week.

Nice to Have

  • Experience supporting senior executives within a fast-paced direct-to-consumer, streaming, media, or technology organization.
  • Experience working with a growing or evolving team where priorities, processes, and operational needs can change quickly.
  • Familiarity with coordinating large-scale team meetings, executive events, and employee engagement activities.
