Job Description

Our client, an e-commerce company that specializes in the jewelry and diamond industry, is seeking an Order Fulfillment & Processing Specialist to own the order fulfillment process end to end, with a high level of accuracy, efficiency and accountability. In this role you'll process repairs, custom orders and canceled orders. You'll also move each order through production by assigning it to the right jeweler, polisher or setter, and you'll serve as a key point of support for resolving order issues and keeping the customer experience seamless.
This is a desk-based role in a jewelry manufacturing environment. About 80% of the day is spent at a two-monitor workstation, and about 20% on the floor pulling inventory and tagging product.

  • Full-time seasonal position until February 2027, some extra hours during peak season plus one Saturday shift per week

  • Fully onsite in New York City

  • Pay Rate $17.50-$22.50/hour depending on experience

Responsibilities:

  • Oversee and manage the full order fulfillment cycle, from receipt to completion

  • Move orders through the fulfillment and production process according to team metrics and KPIs, assigning each to the appropriate jeweler, polisher or setter

  • Review, validate and process complex and high-priority orders in internal systems

  • Monitor order flow and proactively identify and resolve potential bottlenecks or delays

  • Track outstanding orders and address issues to prevent procurement and fulfillment delays

  • Identify, troubleshoot and resolve order discrepancies, system errors and fulfillment issues

  • Monitor and respond to new messages in the order management system promptly

  • Review and process canceled orders, QC fails, Quick Fix and HD orders

  • Coordinate the processing of repair requests and custom orders while maintaining service standards

  • Partner closely with Customer Service, Production, Quality Assurance, Shipping and vendors to ensure seamless execution

  • Support inventory accuracy through cycle counts, audits, discrepancy resolution and hands-on tasks such as pulling inventory and tagging product

  • Use sound judgment on orders that fall outside standard procedure, and escalate to a manager or tenured teammate when needed

  • Maintain accurate, up-to-date records of order status and fulfillment activities

  • Prioritize urgent and high-value orders while maintaining precision, efficiency and quality

  • Contribute to the development and continuous improvement of Standard Operating Procedures (SOPs)

  • Maintain a clean, organized and safe work environment in line with operational standards

Requirements

  • At least 1 year of experience in order processing, customer service, inventory or a similar role. Recent graduates with relevant internship or work experience are encouraged to apply.

  • Comfortable working on a computer for most of the day with a dual-monitor setup

  • Working knowledge of Microsoft Excel

  • Strong attention to detail and accuracy

  • Sound business judgment: knows when to act and when to check in

  • Highly coachable and quick to learn new tasks

  • Clear communicator who works well across teams

  • Works with a sense of urgency, solves problems well and follows directions

  • Reliable, eager and motivated to be part of a team

  • Bilingual in English and Spanish is a strong plus
